Kyocera error 1102, 1101, 2101 and the Ricoh messages: what they mean in scan to folder
In short
On Kyocera, and on the UTAX, Triumph-Adler and Olivetti d-Copia models that use the same codes, 1101 means the printer cannot find the PC, 1102 that the PC refused the user or password (or the folder), 1103 that the path is not valid, 1105 that the protocol is switched off on the printer, and 2101 that the connection failed. On Ricoh the same cases are sentences, such as “Authentication with the destination has failed” or “Connection with PC has failed”. Below: the cause and the fix for each.
Kyocera codes in scan to folder (SMB)
| Code | What happened | What to do |
|---|---|---|
| 1101 | The printer cannot find the destination PC on the network. | Enter the PC’s IP address instead of its name; check that the PC is on and on the same network. |
| 1102 | Login refused: user, password or shared folder name not accepted. | Recheck user and password; try the PCNAME\user form; put only the share name in the path field; check the folder’s permissions. If the Windows password changed, update it in the address book. |
| 1103 | Invalid path or file name. | Remove spaces and special characters from the path; check the share name. |
| 1105 | The protocol (SMB, FTP or e-mail sending) is switched off on the printer. | Turn it on in the web panel’s network settings. |
| 2101 | The connection to the PC failed. | Windows firewall or antivirus, network set to public, port 445 closed; on older machines, SMB1. |
| 2102 · 2103 · 2202 · 2203 | The PC did not answer in time. | Slow network or busy PC; retry and check the cable and the switch. |
| 2201 | Writing the file failed halfway. | Folder permissions, a full disk, the network dropping during the send. |
The same numbers show up in scan to e-mail: a 1102 after a Microsoft 365 or Gmail change is almost always the mail login, not the folder (see the e-mail guide).
Ricoh messages
Ricoh printers, and the Lanier, Nashuatec, Gestetner and Rex-Rotary models, show a sentence instead of a number. The exact wording varies a little with the model and firmware.
| Panel message | What happened | What to do |
|---|---|---|
| “Authentication with the destination has failed. Check settings.” | User or password not accepted by the PC. | As for 1102: a user with a password, the PCNAME\user form, the password updated after a change. |
| “Connection with PC has failed. Check the settings.” | The PC does not answer, or the computer or folder name is wrong. | PC or folder name, firewall or antivirus, public network, SMB1. |
| “Cannot find the specified path. Please check the settings.” | The path does not exist as written, or a firewall blocks it. | Recheck \\address\share, without extra spaces; then the firewall. |
| “Sending the data has failed. The data will be resent later.” | A network error during the send. | The printer retries by itself; if it keeps happening, network and firewall. |
Where to start
- Does the PC answer? From the printer’s panel, or from another PC, try to reach the PC’s address. If it does not answer, it is the network or the firewall, not the folder.
- Try the IP address instead of the PC’s name: it solves most 1101 and “Connection failed” errors.
- Try a local user with a password, created for the purpose, instead of a Microsoft account or a user without a password: it solves most 1102 and “Authentication has failed” errors.
- If it worked and stopped after a Windows update, it is almost always SMB1 (a freshly installed Windows 10 or 11) or SMB signing (Windows 11 24H2): there is a guide for each.
